Create Your Workspace Structure
Organise your workspace into a clear hierarchy so every project has a home.
  • Workspace (your company name)
  • Teams or Departments (Design, Marketing, Development, Operations)
  • Projects within each team (e.g., Design > Client Projects, Design > Internal)
  • Folders or lists for grouping related work within a project
  • Individual tasks and subtasks at the lowest level

Set Up Project Templates
Create reusable templates so you never start a project from scratch.
  • Client Project: onboarding, discovery, delivery milestones, feedback rounds, handoff
  • Content Calendar: ideation, drafting, review, scheduling, publishing, analytics
  • Campaign: strategy, creative brief, asset production, launch, reporting
  • Website Build: wireframes, design, development, content, QA, launch
  • Brand Identity: research, moodboard, concepts, refinement, guidelines, delivery

Configure Views
Set up the right views so your team sees work the way they need to.
  • Board view: for delivery teams tracking tasks through stages (Kanban style)
  • List view: for detailed task management, filtering, and bulk edits
  • Calendar view: for tracking deadlines, launch dates, and content schedules
  • Timeline view: for planning project phases, dependencies, and resource allocation

Set Up Statuses
Define a consistent status flow that matches how your team actually works.
  • Briefed: task has been scoped and assigned
  • In Progress: actively being worked on
  • Review: submitted for internal review or client feedback
  • Revisions: feedback received, changes being made
  • Approved: signed off by the client or stakeholder
  • Delivered: final files sent and project closed

Integrations Checklist
Connect your key tools so information flows automatically between platforms.
  • Slack: get task notifications, create tasks from messages
  • Google Drive: attach files directly, auto-link shared folders to projects
  • Time tracker (Toggl, Harvest, or built-in): log hours against tasks and clients
  • Invoicing (Xero, QuickBooks, FreshBooks): connect tracked time to billing

Team Permissions
Control who sees what so clients and contractors only access what they need.
  • Admin: full access to workspace settings, billing, and all projects
  • Member: can create and manage tasks within assigned projects
  • Guest (client): view-only or comment-only access to specific projects
  • Contractor: task-level access with no visibility into financials or other projects
