Start with 5 to 10 minutes of genuine conversation before jumping into business. Ask about their week, reference something specific from your earlier conversations, or comment on something you noticed about their brand. People hire people they like. Do not script this word for word, but have your opening line ready.
Ask the client to describe what success looks like for this project. Not what they want built, but what business outcome they are after. More leads? Higher conversion? A brand they can be proud of? Write down their exact words. These goals become your north star for every decision during the project.
Walk through the deliverables one by one. Confirm what is included and what is not. Read the scope out loud if you have to. This is where misunderstandings get caught early. If the client mentions something that sounds like an add-on, flag it now.
Present your proposed timeline with key milestones. Be specific about dates, not just weeks. Ask the client if any dates conflict with their schedule, launches, or events. Confirm the final delivery date. Make sure they understand when you need feedback from them and how delays on their end affect the timeline.
Agree on the day-to-day logistics. Where will you send updates? How often? Who is the main contact on their side? Cover your working hours and response times. Set up any shared tools during the call if possible. The fewer unknowns about how you will work together, the smoother the project runs.
End every meeting with clear next steps. State exactly what you will do next, what the client needs to do, and by when. Send a follow-up email within 24 hours summarising everything discussed. This is the most professional thing you can do and most people skip it.
