QBR Meeting Template

A structured template for running a quarterly business review that strengthens client relationships and demonstrates your value.


Section 1
Quarter Recap

Summarise the quarter in a few sentences. What was the focus? What did you set out to accomplish? Give the client context before diving into results. Reference the goals you agreed on at the start of the quarter.

Section 2
Results vs Goals

Compare what you planned to achieve against what actually happened. Use a simple format: Goal, Target, Actual, Status (hit, missed, or exceeded). Be honest about misses. Show the client you measure your own performance seriously.

Section 3
Wins

Highlight the successes. Call out 3 to 5 specific wins and explain why they matter to the business. This is not bragging. It is reminding the client why they hired you and reinforcing the value of the partnership.

Section 4
Challenges

Be transparent about what did not go well. Describe 2 to 3 challenges, what caused them, and what you are doing differently going forward. Clients trust partners who own their mistakes more than partners who pretend everything is perfect.

Section 5
Upcoming Quarter Plan

Lay out your top priorities for the next quarter. Include 3 to 5 goals with clear targets and timelines. Tie each one back to the client's broader business objectives. The next quarter plan should show the client that you are thinking strategically, not just tactically.

Section 6
Strategic Recommendations

Go beyond the day-to-day work and offer strategic advice. What should the client be thinking about? What trends are you seeing in their industry? What opportunities are they missing? This is where you position yourself as a strategic partner, not just a vendor.

Section 7
Budget Review

Review the budget spent this quarter versus what was allocated. If you are under budget, explain why. If you are over, explain why and get alignment for next quarter. Transparency with money builds trust faster than anything else.
